This role is critical to ensuring smooth and uninterrupted office operations, particularly for our international client base.
Position Overview
We are looking for a highly organized and self-motivated Administrative Assistant who will play a key role in supporting our executive team and overall office functions during the night shift. This position requires a proactive individual who can manage administrative duties with precision, maintain confidentiality, and deliver results in a fast-paced environment.
As an Administrative Assistant at MKM Global, you will ensure that back-end operations run efficiently, provide executive support, and assist with internal coordination and communication. Your contribution will directly influence the quality of service we provide to our clients and partners across global markets.
Working Hours
Night Shift: Monday to Friday, 6:00 PM – 3:00 AM (Sri Lanka Standard Time)
Flexibility in working hours may be required based on operational needs.
Key Responsibilities
Your responsibilities will include, but are not limited to:
Executive & Office Support
- Provide comprehensive administrative support to management and executive-level staff.
- Coordinate and maintain executives’ calendars, including setting appointments, scheduling internal and external meetings, and arranging travel and accommodations.
- Assist in managing deadlines and deliverables for the executive team.
Communication Management
- Handle and route incoming communications, including emails, telephone inquiries, and postal mail, ensuring timely responses and appropriate action.
- Draft, format, and review internal and external correspondence.
- Prepare summaries, agendas, and minutes for meetings as required.
Document & Data Management
- Create, edit, and format business documents including reports, spreadsheets, and presentations.
- Organize and maintain physical and digital filing systems to ensure easy retrieval and confidentiality of sensitive information.
- Track and update internal databases and records.
Meeting & Event Coordination
- Schedule, prepare for, and support virtual and in-person meetings across multiple time zones.
- Ensure meetings are well-organized and resources (agendas, presentation materials, etc.) are ready in advance.
- Provide post-meeting documentation and follow-up on action items.
Office Operations
- Monitor inventory and coordinate procurement of office supplies and equipment.
- Liaise with internal departments to support general administrative needs.
- Assist in onboarding new staff by preparing administrative materials and tools.
Project Assistance
- Participate in and support various internal administrative projects.
- Coordinate with team members to ensure timely completion of administrative tasks.
- Provide support for finance, HR, and operations as needed, especially in document preparation and tracking.
Required Qualifications & Skills
Education & Experience
- Minimum of a Diploma or Bachelor’s degree in Business Administration, Management, or a related field.
- At least 1 year of experience in a similar administrative or executive support role is preferred.
- Experience in a global or financial services environment is an added advantage.
Technical Proficiency
- Strong command of Microsoft Office tools including Word, Excel, Outlook, and PowerPoint.
- Ability to use digital communication platforms like Zoom, Microsoft Teams, or Google Meet.
- Familiarity with cloud-based file sharing and task management tools is a plus.
Soft Skills & Attributes
- Excellent verbal and written communication skills in English.
- Outstanding organizational and time management abilities.
- Strong attention to detail and accuracy.
- Ability to prioritize tasks effectively and meet tight deadlines.
- High degree of discretion in handling confidential information.
