We’re currently seeking a talented Administrative Manager to strengthen our back-office infrastructure and improve company-wide coordination from our Kandy office.
Position Summary
The Administrative Manager will play a critical leadership role in supporting daily business operations, overseeing the administrative team, and working closely with senior leadership to implement strategic initiatives. This role requires a proactive leader who thrives in a fast-paced, multicultural environment and brings a balance of operational know-how and people management skills.
The ideal candidate must be fluent in both English and Chinese to effectively collaborate with Chinese stakeholders and partners.
Key Responsibilities
Department Oversight & Management
- Lead, supervise, and develop the administrative team, ensuring optimal performance, engagement, and collaboration.
- Develop, document, and enforce organizational policies and standard operating procedures (SOPs).
- Ensure smooth day-to-day office operations across the company’s Sri Lankan offices and remote functions.
Process & Policy Implementation
- Continuously assess and optimize internal administrative workflows to enhance service delivery and overall productivity.
- Drive initiatives for digital transformation and automation within administrative functions.
- Champion the use of administrative software tools and ensure timely adoption and training across departments.
Budgeting & Financial Reporting
- Manage departmental budgets responsibly and in alignment with company targets.
- Prepare and present monthly and quarterly operational reports to senior management.
- Track spending patterns and identify cost-saving opportunities without compromising quality.
Cross-Departmental Coordination
- Act as a liaison between the administrative function and other departments including HR, Finance, and IT to streamline operations.
- Support strategic initiatives and company-wide goals through active collaboration and project management.
Compliance & Risk Management
- Monitor company operations to ensure compliance with all applicable laws, industry regulations, and company standards.
- Prepare documentation and internal reports for audits and compliance checks.
- Stay current with changes in legal and administrative policies relevant to the business.
Communication & Stakeholder Engagement
- Maintain professional and effective communication with internal and external stakeholders, including global teams and Chinese partners.
- Organize company-wide meetings, workshops, and corporate events as needed.
- Manage vendors, contractors, and external service providers with clarity and efficiency.
Candidate Requirements
Education & Experience
- Bachelor’s degree in Business Administration, Management, or a related field. A Master’s degree is preferred.
- Minimum of 5 to 7 years of relevant experience in administrative or operations management roles, ideally in a tech, fintech, or startup environment.
Language & Communication
- Fluency in both English and Chinese (Mandarin or Cantonese) is a must, given ongoing coordination with Chinese stakeholders.
- Demonstrated ability to draft reports, policies, and memos in a professional tone.
Skills & Competencies
- Strong leadership and organizational abilities with a track record of mentoring teams.
- Excellent time management, multi-tasking, and problem-solving skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Familiarity with cloud-native tools (e.g., Google Workspace, Trello, Notion) is a plus.
- High level of integrity, discretion, and professionalism.
