Job Summary
We are seeking a courteous, motivated, and detail-oriented Front Office Assistant to join our warm and professional team. This role requires an individual who thrives in a guest-facing environment and can provide outstanding front-desk services to ensure a welcoming and seamless guest experience.
The ideal candidate will be responsible for managing front desk operations including guest check-ins and check-outs, reservations, handling inquiries, and coordinating with various departments to ensure high service standards. This position is perfect for someone who enjoys hospitality, takes pride in their communication skills, and thrives in a fast-paced, guest-focused environment.
Key Responsibilities
Guest Reception & Check-In/Out:
- Greet guests with warmth and professionalism upon arrival and departure.
- Manage smooth and accurate guest check-in and check-out procedures.
- Verify guest reservations and update records using hotel management systems.
Reservation & Communication Handling:
- Process room bookings via phone, email, or online systems.
- Answer inquiries regarding room rates, amenities, and services.
- Provide clear and courteous information to guests regarding hotel facilities and nearby attractions.
Coordination with Departments:
- Liaise with housekeeping and maintenance teams to fulfill guest needs or address issues promptly.
- Coordinate special requests such as early check-ins, late check-outs, or transportation.
Administrative Duties:
- Maintain accurate guest records and process payments efficiently.
- Monitor inventory for front office supplies and inform management when stock is low.
- Ensure the front desk area remains clean, tidy, and inviting at all times.
Service Standards & Guest Relations:
- Address guest complaints or concerns with empathy and a solution-focused mindset.
- Collect guest feedback and report it to management for service improvement.
- Foster a positive and professional environment for guests and colleagues alike.
Required Qualifications & Skills
Experience & Background:
- Prior experience in front office or customer service roles, ideally in a hospitality setting.
- Familiarity with hotel management software and booking systems.
Communication:
- Excellent verbal and written communication in English.
- Knowledge of other languages such as Sinhala, Tamil, or foreign languages is an asset.
Technical & Organizational Skills:
- Strong computer literacy, including Microsoft Office applications.
- Ability to multitask, stay organized, and perform under pressure.
Soft Skills:
- Exceptional interpersonal skills and a courteous demeanor.
- High level of attention to detail and time management.
- Dependable, punctual, and flexible in work hours—including weekends and public holidays.
Working Conditions
- This is a full-time, on-site role based in Kandy.
- Shift-based work may be required, including morning, evening, weekend, and holiday shifts.
- Uniform and training will be provided by the hotel.
