Job Overview
We are seeking a detail-oriented and proactive Inventory Manager to lead and refine our inventory and procurement processes across our Sri Lanka operations. This is a dynamic, full-time role suited to individuals who thrive in fast-paced environments, have a strategic mindset, and can execute operational excellence through meticulous attention to detail.
As the Inventory Manager, you will be responsible for overseeing all aspects of inventory, focusing on spare parts for our fleet of tuktuks. This role involves coordinating workshop needs, managing vendor relationships, maintaining inventory accuracy, and ensuring compliance with both safety standards and budget targets. You’ll be the linchpin that keeps our mechanical operations running smoothly and efficiently.
Key Responsibilities
1. Spare Parts Inventory Management
- Monitor, manage, and maintain stock levels of spare parts used for the repair and maintenance of tuktuks.
- Perform regular audits and cycle counts to ensure real-time inventory accuracy.
- Create and maintain digital records of inventory using tools such as Airtable, Excel, or similar inventory software.
- Optimize inventory storage systems to improve accessibility and minimize stock loss or misplacement.
- Predict demand and proactively adjust inventory to avoid shortages or excessive stockpiling.
2. Workshop Coordination
- Collaborate closely with the workshop team to identify and fulfill requirements for spare parts, tools, and equipment.
- Ensure inventory is delivered on time to minimize delays in tuktuk servicing and customer usage.
- Develop and implement workshop inventory protocols to standardize processes and increase operational efficiency.
- Track and report parts usage patterns and maintenance trends for strategic planning.
3. Procurement & Vendor Management
- Handle end-to-end procurement processes including purchase order creation, vendor negotiations, and order tracking.
- Source cost-effective and high-quality parts while establishing reliable supplier relationships.
- Evaluate vendor performance periodically to ensure compliance with company standards in pricing, delivery, and product quality.
- Stay up to date on local and international market trends for automotive spare parts and workshop supplies.
4. Documentation & Reporting
- Maintain comprehensive records of purchases, receipts, consumptions, and inventory transfers.
- Prepare and submit periodic reports to management detailing stock levels, procurement metrics, and potential risks.
- Ensure all inventory data is synchronized across departments (Finance, Workshop, Operations) for decision-making and budgeting.
- Lead regular reviews of inventory accuracy and address discrepancies through root-cause analysis.
5. Compliance & Safety
- Establish and enforce best practices for the safe handling and storage of automotive parts and hazardous materials.
- Ensure the inventory and workshop comply with health and safety regulations.
- Develop safety guidelines for employees interacting with inventory and chemicals.
- Regularly audit inventory storage areas to ensure adherence to environmental and safety protocols.
6. Financial & Budget Oversight
- Work with the finance team to plan budgets and forecast inventory expenditure.
- Monitor inventory costs and identify areas for cost savings or process improvements.
- Analyze procurement efficiency and recommend opportunities to streamline spending.
- Track return on investment (ROI) of key spare parts and bulk purchases.
Candidate Profile
Must-Have Qualifications
- Minimum 3+ years in inventory management or supply chain, preferably in automotive or mechanical industries.
- Strong experience in vendor management and procurement strategies.
- Familiarity with workshop operations and maintenance processes.
- Proficiency in digital tools like Excel, Airtable, and inventory tracking systems.
- Knowledge of budget planning and financial documentation.
- Fluent in English and either Sinhala or Tamil.
- Exceptional organizational skills with the ability to handle multiple priorities.
- Detail-oriented with a strong sense of accountability and ownership.
Preferred Skills
- Experience working in a fast-growing startup or dynamic operations environment.
- Ability to create SOPs and optimize operational workflows.
- Technical knowledge of vehicle components and workshop tooling is an advantage.
- Familiarity with safety regulations related to mechanical equipment and storage.
